Chapter 1: Design and Implementation of a Computerised Hostel Allocation Management System

1.0 Introduction

1.1 Background of the Study

Hostel: A hostel is a type of lodging that provides travellers with competitively cost, shared accommodations in either private or dormitory style.

A management information system (MIS) is a system that delivers the information required to efficiently manage organisations. Richard Schirrmann established the first permanent Jugendherberge or “Youth Hostel” in Altena Castle, Germany, in 1912.

These initial Youth Hostels were an example of the German Youth Movement’s ideal of allowing underprivileged city youth to breathe fresh air outside.

The adolescents were intended to manage the hostel as much as possible, completing duties to save money and build character while still being physically active outside. As a result, several youth hostels closed during the middle of the day.

Hostels and hotels differ in various ways, including:

Hostels are typically budget-friendly; fees are significantly reduced, and many hostels provide programmes for sharing books, DVDs, and other stuff.

Hostels do not typically have the same amount of formality as hotels, which appeals to those who prefer an informal environment.

Hostels typically provide more communal areas and opportunity for guests to socialise with one another. Hostels’ dormitory design adds to their social appeal.

1.2 Statement of the Problem

The increasing number of students in higher education institutions around the world has created numerous accommodation challenges for both students and school administrators. At the start of each session, students spend half of the semester hunting for housing.

The few hostels that exist in universities are not well managed. Statistics on the amount of rooms required to accommodate the expanding number of students are implausible. Most students pay the hostel price but do not receive one due to a lack of bed space.

Hostel management cannot provide reliable information about the occupancy of a certain room. These and many other factors contribute to the problem statement that prompted this investigation.

1.3 GOALS OF THE STUDY

The project is intended to assist in the administration of hostel allocation at the institution. The primary goal of the new system includes:

Create and implement a central database system that will function as a hostel database, containing information on all available rooms in the hostels.

Create a computer-driven hostel allocation system that assigns hostel rooms to students.

To generate reports about hostel occupancy.

1.4 Significance of the Study

The new system planned for computer-based student hostel allocation will, among other things:

Facilitate the timely allotment of hostel spaces to students.

Check the hostel occupancy at all times for information management.

Allow management to plan for improved hostel living conditions.

Have firsthand information about the hostel’s student population data.

1.5 Scope of the Study

The research will include, among other things:

Hostel allocation

Hostel room registration

Student reports.

The research will be conducted using OGUN STATE COLLEGE OF HEALTH TECHNOLOGY, Ijebu, Ogun State.

1.6 LIMITATIONS.

Some of the constraints encountered during this project design are the following:

Financial Constraints: The design was completed, but not without significant financial involvement. Someone had to pay for computer time. There are also financial costs associated with typing and arranging the work.

High programming technique: The programming component of this project presented a number of challenging bugs that took us several days to resolve. Problems such as database connections with VB and MS Access databases presented numerous obstacles.

Few Literature Sources: The topic appears to be a frequent word; nonetheless, it is not a popular topic to search for on the Internet. It contained fewer literature sources.
