Chapter 1: Design and Implementation of a Computerised Guest Information Tracking System – Introduction

1.1 BACKGROUND OF STUDY.

Information technology is a crucial tool for guest tracking. The faster and more efficiently it operates, the safer our business management becomes.

An information system (IS) is a collection of individuals, data records, and activities that process data and information in an organisation, including both human and automated procedures.

In a narrow sense, the phrase information system refers to the application software used to store data records in a computer system and automate part of the organization’s information-processing processes.

The word information technology has grown to embrace many aspects of computing and technology, and it has become widely recognised. The information technology umbrella can be fairly broad, including numerous fields.

IT specialists are responsible for a wide range of tasks, including application installation, complex computer network design, and database management.

Since its inception in the 1970s, the use of information technology in policing has faced criticism and opposition. The development of an information technology strategy must be evaluated in the context of rising expectations and demand to reform within organisations.

The business climate in which banks operate is evolving; growing efficiency demands have resulted in information technology being recognised as a vital and innovative addition to the guest tracking system.

Over the last decade, computer and telecommunications technology have advanced at an incredible pace. Increased computer power, innovations in data transmission, and appealing and user-friendly graphic interfaces provide banks with unparalleled ability to gather, store, analyse, and exchange data with stakeholders both inside and outside the bank.

Historically, information system innovation has served as a catalyst for substantial changes in how organisations work, presenting both opportunities and problems to operators.

Some banks have made significant attempts to create databases for guest information systems for security reasons.

1.2 Statement of Problem

Keeping track of visitors in a bank has been a major challenge for the management. Often, the guest’s identity is forgotten as soon as he or she leaves the bank. This poses a significant security concern because an automatic record of daily bank visitors is required in the event of a security incident.

1.3 PURPOSE OF THE STUDY

The goal of this research is to create software that will function as an electronic register, keeping track of daily bank visitors. The software will run a centralised database system for information sharing.

1.4 Significance of the Study

The created software will benefit bank management in a variety of ways:

1. Maintain a centralised database of guest records.

2. Easily retrieve past information about the guest from the system using the serial query language.

3. Maintain good surveillance of guest information for security concerns.

4. Understand the quantity of guests they receive on a daily basis.

5. Monitor the frequency of a guest’s visits to the bank

1.5 PURPOSE OF STUDY

The goal of this research endeavour is to create a system that can accomplish the following:

1. Provide an electronic register to keep records of guest visits to the bank.

2. Create a system that will generate information and output reports much faster, more precisely, and with greater depth.

3. Maintaining a record of the total number of guests who visit the bank each day.

4. Keep track of previous guests in case of a security breach.

5. Set a password to prevent unauthorised individuals from accessing and modifying information.

 

1.6 SCOPE OF THE STUDY

This research effort only includes records on the bank’s managers’ guests and some other management workers, as keeping guest records on all bank employees would be impractical.

1.7 Constraints and Limitations
Due to time constraints and limited resources, the use of biometrics for valid guest identification was not feasible.

1.8 Definition of Terms

ARRIVAL FILES: This is a master file that includes the guest’s name, company name and address, state, country, nationality, profession, and the form of payment that will be utilised by the guest.

DATABASE: This is a collection of connected data or information.

GUEST: This guest is used in the contest of the work refers to individuals, businesses, or corporate bodies that visited the bank.

SOFTWARE: These are logically expressed instructions that govern the hardware.
