Chapter 1: Introduction
As academic and corporate activities expand, so does the amount of information available. This includes manuals, processes, best practices, ideas, significant documents, sales leads, and expenses.

Managing information and documents gets increasingly challenging. For small academic departments or businesses, using notes and paper documents is inconvenient for staff. Manually sharing information through “pigeon holes” and searching for information in file cabinets wastes time and energy.

The lack of administrative staff in the workplace impedes workflow by preventing the movement of papers for information dissemination. Damages may occur based on the information’s intended use at the time.

Using an intranet-based Wiki with an Instant Messaging Protocol can improve staff effectiveness and lead to better service delivery to clients.

Wikis are web-based applications that enable collaborative editing, extension, and deletion of information and structure. This tool enables personnel to effortlessly share information.

The programme allows employees to collaborate from any location for work purposes. This means that even if a staff member is not physically present, they can still contribute to the organization’s work from a distance.

This application will be developed to run on an intranet network. Intranets are computer networks that use internet protocol technologies to distribute information, operational systems, and computing services within an organisation.

1.2 Statement of the Problem

The following are the problem statements that prompted this research work:

1. Staff may move physical documents and data indiscriminately, perhaps resulting in loss of crucial information.

2. Inability of personnel to hear critical information, particularly when not seated.

3. Inadequate communication among personnel leads to poor teamwork and service performance.

4. Lack of document and file security during information sharing can jeopardise an organization’s integrity if misused.

5. The department lacks an instant message system to notify staff of important tasks or projects.

1.3 Goals and objectives of the study

This initiative aims to create a collaborative platform for generating documents such as project guidelines, grants, memos, and meeting circulars for department workers.

2. Ensure effective information transmission among departmental staff.

3. Create a secure system that personnel may access from any location while maintaining the integrity of the information and knowledge. This is why the intranet is preferred.

4. Implement an instant messaging mechanism to notify users when new information or documents are available.

1.4 Scope of the Study

This research is designed for staff at the Department of Computer Science, University of Nigeria, Nsukka. It can be adapted for usage in other organisations with few changes.

1.5 Significance of the Study

The relevance of this initiative is as follows:

1. Eliminating manual document and file moving by clerks will reduce stress and the risk of losing crucial information.

2. Staff can participate to departmental activities by collaborating on document writing.

3. Students can read project rules and ask questions through the comment text section.

4. Enables collaboration among departmental workers and other relevant offices to establish decision-making processes. For instance, the vice chancellor’s office or the school of postgraduate studies can work with department officials to address relevant issues.

5. Staff will reply to documents and information as soon as they are posted on the system, preventing damage from delays.
