1.1 Introduction

Almost all information on a computer must be saved in a file. Each document is saved on the computer as a FILE, which is identified by name. A file consists of letters, numbers, and special characters.

There are many distinct types of files, including data files, text files, programme files, directory files, and so on. Different types of files store various types of information. For example, programme files store programmes, whereas text files store text.

In today’s information era, success is predicated on quick storage, access control, and retrieval of information. Computer files and filing systems have received more attention.

In terms of programming, files are not much different from other types of files or applications. The most significant difference is that with a programme, you access the file sequentially (reading one line at a time beginning at the beginning), and you can write by creating a new file from scratch (or overwriting an existing one) or adding to an existing one.

When it comes to file sharing and access control, each programming language has a unique methodology or method for creating, editing, and updating files. The structure of a file is known to the software that processes it.

For example, database files are made up of a succession of records, but word processing files contain a flow of text. Except for ASCII text files, which contain merely raw text, the rest of the files have proprietary structures.

Formatting and other types of information are found in headers or scattered throughout the file. Most file sharing and access takes place on storage media like as magnetic discs, flash drives, and thumb discs.

There is still a significant amount of file processing done utilising magnetic tape files, although it is usually done on mainframe computers in big commercial industries or financial institutions.

Magnet tape continues to be a backup media, particularly in cartridge form. When employing files, data entry and processing are separated. Thus, a file can be produced once and then processed or used later. In fact, a file is intended to store data that may be processed later.

 

1.2 Statement of the Problem

Since inception, man has been on a perpetual journey to better the quality of his life and existence; this ever-increasing search has been compelled and fueled by the simple necessity for man to confront the challenges provided by his environment.

Some of the difficulties associated with manual file sharing and access include the inability to effectively handle data files, poor indexing, file cabinet congestion, difficulty accessing and locating files, a return to administrative activities, inconsistency, inability to update records, file misplacement due to transfer from one office to another, data processing delays, and so on.

 

1.3 PURPOSE OF THE STUDY

The fundamental goal of this research is to develop and implement a computerised system for file sharing and access management. This will significantly help to eliminate the fundamental challenges encountered by the administrator. It will also promote and defend the confidentiality, integrity, and availability of data and resources.

 

1.4 Significance of the Study

The significance of this research endeavour is founded on the following:

This solution will alleviate administrative workload, reduce file piles, and avoid file loss during transport.

This research will also be useful for students who may conduct comparable research in a related sector for reference purposes.

This will also enable other organisations and system designers in totally designing a computerised system with very little human work on file maintenance, resulting in efficiency, smoothness, and improved execution of administrative duties.
