ABSTRACT
This project topic, Teleconference System, is a cutting-edge invention that many organisations require in order to reduce costs, risks, and time waste. The goal of this initiative is to bridge the geographical gap between two or more organisations.

Other benefits of teleconferences include: (i) lower delivery costs for organisations, with cost savings in terms of time, travel, and resource distribution among big groups. (ii) Teleconferencing can be used to deliver whole courses, classes, tutoring, project work, and training to students.

The paper covers the fundamental principles of the proposed system’s analysis and design process, compares it to the existing system, then goes on to explain the system’s design and implementation.

The system was created with Visual Basic 6.0 and runs on Windows XP or later versions. Interviews, observation, online, and library research were used to gather information.

CHAPTER ONE

INTRODUCTION

As computer and electronics technology advances, many new ideas continue to flood the market, generating machines and channels for human activities to be increased.

The development of video communicating over media is a significant component of this technological advancement. Such data might subsequently be packed and remotely delivered from the source to the targeted recipients.

However, this was rarely a real-world scenario. The best we could hope for was live broadcast of an event, which was frequently expensive and impossible for consumers to obtain.

With the development of the internet, inventors had a better opportunity to think of new ways to communicate video information from source to target in real time and at a lower cost.

Many pieces of equipment have been created to accomplish this. Further advancement has resulted in what is now known as teleconference.

The term ‘tele’ refers to distance. The term “conference” refers to consultations and talks. Teleconferencing connects two or more distant locations so that they can hear each other or both see and hear each other.

It enables distant sites to communicate with one another and with the teaching end via phone, fax, and e-mail. The exchanges

This happens in real time. This means that the learners/participants and the resource individuals are in separate locations at the same time and can speak with each other. In some cases, inquiries can be faxed or e-mailed ahead of time for answer by resource personnel.

Matthew Lombard and Theresa Ditton characterise the conference as “an illusion that a mediated experience is not mediated.” Nowadays, it frequently addresses the effect that humans have when interacting with a computer-mediated or computer-generated environment.

The concept of presence draws on ideas from a variety of disciplines, including communication, computer science, psychology, science, engineering, philosophy, and the arts.

Today, the concept of presence accounts for a wide range of computer programmes and Web-based entertainment that are built on the basics of the phenomena in order to give users the sensation of “being there,”

as Sheridan phrased it. Since teleconferencing is a useful tool in organisations since it is primarily used to bridge the geographical barrier between two or more companies, and based on my study, I noticed that only large companies can afford it, I built this project to address this issue.

Stop the tendency of allowing smaller businesses to purchase and use it.

1.2 AIMS AND OBJECTIVES
The primary goal of this project is to create a computer-based teleconference. It also aims to contribute to scholarly research.

1.3 JUSTIFICATION FOR THE PROJRCT
The requirement for a teleconference system is clear for the following reasons:
a. It has an impact on education by allowing live participation without physically being present for a lecture;

b. Legal issues can still be treated even if a person is not fit to go to court;

c. Pressmen can attend international conferences without physically being present; and

d. Telemedicine is possible because of teleconferences.

e. It maximises the utilisation of available resources by expanding learning opportunities and bringing resources to the learners.

f. It solves time or scheduling issues for learners who can only attend a learning centre for a short time due to full-time or part-time work, family and community obligations.

g. It can be tailored to match local training needs in terms of content, language, and conditions.

h. Training is of high quality and consistent in its delivery. There is exposure to diverse perspectives from original sources, and hence there is no loss of quality in transaction because the input from resource persons is direct.

i. As a diversity of teaching approaches are applied, there is increased appeal, motivation, and retention of information.

1.4 SCOPE OF THE PROJECT
The following will be included in the scope of this work:
a. A dynamic network system capable of real-time communication; and b. The ability to create a video streaming server.

c. Investigate the capabilities of Visual Basic in data handling.

1.5 PROJECT REPORT ORGANIZATION

This report is divided into five sections. The first chapter covers the backdrop, goals & objectives, justification, and scope of the project.

The second chapter is a review of the literature. The third chapter contains the project methodology, analysis, limits of the existing system, system design, system flowchart, and top down design. The input, processing, and output units are scrutinised.

System implementation, testing, and integration were meticulously handled in Chapter four, including the selection of development tools, system requirements, and testing.

Finally, Chapter 5 concludes with a summary, recommendations, and conclusions: BEME (Bill of Engineering Measurement and Engineering), bibliography, and appendices
